  • Overview


    Provide administrative/analytical support to the the Director of Facilities and the Safety Manager.  Perform all duties safely, accurately and strive to meet set productivity goals.   


    ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:

    • Maintain files, including filing of facilities, safety and security documentation, and other miscellaneous filing.
    • Write, type, and/or enter information into computer to prepare reports, copying information from one record to another.  Proof read records and forms for accuracy.
    • Prepare requisitions for office, computer, and routine supply purchases for the Facilities and Safety/Security Departments.
    • Assume responsibility for establishing and maintaining effective communication and coordination with company personnel and with management.
    • Maintain regular contact with other departments to obtain and convey information and/or to correct transactions.
    • Keep Facilities and Safety/Security departments' management informed of area activities and of any significant problems relating to reports.
    • Assist Facilities and Safety/Security departments' management with travel arrangements as needed..
    • Maintain vendor and supplier contract files, maintenance agreement files, customer and corporate contact lists.
    • Assist in preparation of presentation materials, agendas and management of logistical details for visits, tours, on-site meetings, as needed.
    • Provide Facilities and Safety/Security department telephone and email coverage, produce documentation, reports, handle copier projects (including overhead preparation) and mail handling.
    • Attend and participate in meetings as required.
    • Ensure that work area is clean, secure and well maintained.
    • Report any unfixable/unsafe issues to supevisor.
    • Observe and enforce all safety rules in an effort to prevent accidents and injuries.
    • Ensure office equipment is used in a safe and professional manner.
    • Understand and comply with all applicable company policies (i.e. attendance, Code of Business Conduct & Ethics, Associte Handbook, etc.).
    • Comply with all applicable State/Federal laws, regulations and policies (i.e. OSHA, HACCP, AIB, etc.).
    • Perform other duties as assigned.

    High School Diploma or General Education Diploma (GED) is required.  AAS degree from an accredited college or university preferred.  Three to five years of related experience and/or training or an equivalent combination or education and experience required. 


    Working knowledge of Microsoft Suite (Word, Excel, Power Point, and Outlook) at the intermediate level.  



    Must have the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Must have the ability to write reports, business correspondence, and procedure manuals.  Must have the ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. 


    Must have excellent written and verbal communication skills with individuals of broadly varying backgrounds and educational levels.



    Ability to add, subtract, multiply, and divide into all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent; and to draw and interpret bar graphs.



    Must possess emotional stability and objectivity and see problems through to completion.  Must be able to work in a proactive manner, address issues, and solve problems by using previous education and experience in identifying appropriate actions.  Problems will vary in complexity and there will not always be a clearly defined solution.  Some solutions may require modifying past applications or creating a solution unique to the current situation, but within the regulations that would apply.

    While performing the duties of this job, the associate is regularly required to use hands to finger, handle, or feel objects or controls, and talk and hear.  The associate frequently is required to sit for prolonged periods of time and is frequently required to use the telephone, computer keyboard, and mouse.  The associate is regularly required to stand, walk and reach with hands and arms.  The associate must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision, and the ability to adjust focus.



    The work environment characteristics described here are representative of those an associate encounters while performing the essential functions of this job.  The job is performed in an office and a warehouse/operations environment.  While performing the duties of this job, the associate is seldom exposed to freezer/cooler warehouse environments.  The noise level in the work environment usually is moderate.



    This is a full time position.  The core hours are Monday – Friday, 8:00 a.m. – 5:00 p.m.   Start and end times will vary based on business needs.    Must have the ability to work a varying schedule which might include weekends, and some holidays.  Work hours may vary or change based on departmental requirements or business needs.
